Proper event request management ensures that the right information is available to decision-makers for action. Once decisions are made, the scheduler works with the team to build a schedule that maximizes the day and makes sense.
The schedule must reflect the principal's preferences, including times and locations for meals and start and end times that allow them to be effective. Understanding scheduling basics also enables the campaign to make the most of travel time by adding relevant additional local stops.

Conceptualization
The Idea Phase – It's important to have a clear purpose and message in mind when planning a trip, such as meeting with voters or stakeholders, speaking at conferences or events, attending fundraisers, taking a listening tour, or building relationships with other political leaders.
Once you have a clear understanding of your objectives, we can work with you to develop a detailed itinerary that maximizes your time and resources. This might involve adding off the record stops, adding stops that promote your message, or scheduling a photo opportunity for social media.
Throughout the planning process, we'll also help you think through the logistical details of your trip, such as transportation, lodging, and meals. By taking a strategic and organized approach to trip planning, you can ensure that your time on the road is both productive and meaningful.
Organizing
The Planning Phase – Once you’ve identified the purpose and goals of your trip, we can begin to put together a detailed plan on how to achieve your objectives, by arranging all necessary logistics to make the trip happen.
During the planning phase, we will help you secure travel and accommodations, and confirmations for meetings or events that you wish to attend. This will involve crafting a comprehensive trip book, outlining a breakdown of estimated timing for each activity on your trip.
It's important to involve all stakeholders in the planning phase so that they can provide input and feedback, ensuring that everyone's needs and preferences are considered. By working together, we can create a well-organized and comprehensive plan for your trip.
Scheduling
The Finalizing Phase – After the trip has been organized, we will begin to schedule each event and activity down to the minute. This will involve setting specific dates and specific times for travel, meetings, events, and any other activities included in the trip.
A final trip itinerary will be produced and distributed to all members of the traveling party. This will ensure that everyone has a clear understanding of the schedule and knows where they need to be at any given time.
Once the itinerary is finalized, the trip is ready to begin, and everyone can be confident that they have a clear plan in place for a successful and productive trip.
Travel Management
Sometimes referred to as a Trip Coordinator, we will work closely with the advance team, traveling party, and other stakeholders to ensure that all travel logistics are taken care of.
This would involve booking commercial travel options for the advance team and stakeholders who are not traveling with the official party, as well as coordinating private travel for the official party. To help keep costs down, we would assist you in finding discount travel options, such as making room blocks or taking advantage of corporate rates whenever possible.
Once all travel arrangements have been made, your travel management team would be responsible for sending out the travel details and trip books to the respective travelers. This would ensure that everyone has the necessary information to travel smoothly and efficiently, without any hiccups or delays.
Motorcade Management
We’ll work closely with the security detail to order and arrange appropriate vehicles, while also coordinating with the scheduler to ensure adequate space for everyone. To maximize the effectiveness of the motorcade, we will ensure that there is enough space for a quick drop-off at each event and that the vehicles are strategically repositioned for a speedy departure. This will help to keep the traveling party on schedule and avoid any delays or disruptions.
We’ll also be responsible for coordinating Independent Staff Movements (ISM’s) for a member of the traveling party who needs to meet the team on-site or depart early and will not be riding in the official motorcade. By working closely with the security detail and other key stakeholders, we can ensure that the motorcade and any related transportation logistics are executed flawlessly, allowing the campaign to proceed smoothly and efficiently.
Trip Directing
Having a skilled and experienced Trip Director is essential for ensuring the success of all trips. We can staff you as Trip Director or offer training to a member of your team.
As a key member of the traveling party, the Trip Director will be responsible for overseeing all aspects of the trip from start to finish.
They will be responsible for the traveling party adhering to the schedule and briefing materials and will supervise that all aspects of the trip are going as planned.
The Trip Director will be the main point of contact for the traveling party for any issues while on the road. They will work closely with headquarters staff, the advance team, the political team, and the stakeholders to ensure that all relevant information is communicated clearly and that everyone is on the same page, so that nothing is lost in translation.
